Inventory active work before old data
Begin with the customers and opportunities that still need an action. List accepted offers, open jobs, pending questions, current documents and communication preferences. Historical records matter, but active context is what the team will rely on immediately after a cutover.
Name the source of each fact. A contact row may be in the CRM while the accepted quote is in a document system and the most recent change is in email. If those sources are not reconciled, moving the contact can produce a clean-looking but incomplete record.
Distinguish three different projects
Coexistence means systems remain in use without an assumed data flow. Migration means a defined set of records moves once. Live synchronization means changes continue to travel between systems. They have different maintenance and failure requirements.
Use the exact system names and actions when discussing the scope. “Works with our tools” is not enough. Ask what moves, in which direction, who maintains it and what happens when an update fails. Do not treat a supported export as proof of complete two-way integration.
Reconcile a sample by meaning
Choose an ordinary customer, a revised proposal and an active job with a pending dependency. Compare the old and proposed new records. Can the receiving team identify the accepted version, the next owner and the open question?
Check the communication preferences and suppression information relevant to your workflow. Do not infer permission to contact someone from the presence of an email address. The scope needs to preserve the facts that govern what the business can do, as well as the facts that describe the customer.
Use one owner per workflow during overlap
While both systems remain live, name one authoritative process for booking, outreach and accepted offers. Otherwise two systems may send different messages or act on different versions.
Move one responsibility at a time. Define the cutover, the person who verifies it and the fallback if the new action cannot proceed. Keep the original records until the migration has been reconciled and the applicable retention decisions have been made by the business.
GPT Business activation is a scoped step
GPT Business’s Manager and connected CRM make continuity in customer work the evaluation frame. A useful first result is a workflow brief that identifies the records, decisions and actions required.
The public demo does not migrate your CRM or connect live systems. Assisted activation confirms the supported scope and permissions. If an existing system remains essential, discuss the exact coexistence or connection requirement before choosing the plan.
Your working checklist
- Inventory active commitments and dependencies.
- Identify the authoritative source for each fact.
- Choose coexistence, migration or synchronization per system.
- Reconcile a representative sample.
- Keep one workflow owner during overlap.
- Define a staged cutover and operational fallback.
Try this in the demo
Use a fictional example and replace the business details with your own approved information. This prompt prepares a draft for review; it does not authorize live actions.
Help me plan a staged CRM change using fictional records. Separate contact data from active commitments, documents, history and communication preferences. For each workflow, identify the authoritative system during overlap. Prepare a sample-reconciliation checklist and flag any live synchronization requirement that still needs a confirmed connection.
Frequently asked questions
Does a CSV export migrate everything?
Not necessarily. It may omit documents, history, preferences or the meaning of active work. Reconcile the required fields and linked context.
Will the GPT Business demo connect my CRM?
No. It can help prepare a scope and useful drafts. Live connection and migration requirements are confirmed during assisted activation.
