Carry the customer promise from the quote into delivery.

A closed deal needs a usable handoff. The next role should understand what was agreed, what is still open, and which action it owns.

Why the handoff matters.

A customer may explain the same request across a call, quote, agreement, and service conversation. If the next person or AI role only sees a status marked “won,” the important details can disappear. The handoff should carry the accepted scope and the reasons behind it.

The handoff checklist.

  1. Customer and objective. Identify the customer, the responsibility, and the outcome they accepted. Keep the relevant conversation and agreed documents connected.
  2. Accepted scope. Record the product or service, quantity, location or delivery requirements where relevant, and the exclusions. Distinguish accepted terms from an earlier draft.
  3. Price and agreement. Carry the approved offer, any authorized exception, and the agreement status. Flag an unsigned document rather than treating it as accepted.
  4. Payment status. Identify whether a payment is requested, confirmed, or still unresolved in the connected system. Never infer completion from a prepared payment link.
  5. Customer promises. Record timing, updates, dependencies, and special requirements. Separate confirmed commitments from requested dates.
  6. Open questions. List missing facts, decisions awaiting approval, and conditions that affect delivery. Name the role or person responsible for resolving each one.
  7. Next owner. Assign the next action to operations, customer care, the Manager, or a person. Define the trigger and the evidence that marks it complete.
  8. Customer update. Decide who communicates next, through which authorized channel, and what can be promised at that point.

An illustrative home service example.

A customer accepts a recurring window-cleaning package. The operations handoff includes the accepted package, job scope, access requirements, service frequency, and any confirmed scheduling conditions. An unusual site condition remains an open question for the appropriate person.

If a deposit is required before scheduling, the workflow waits for verified payment status in the connected system. A prepared invoice or a simulated payment in a demo does not satisfy that condition. Operations receives the scope and the remaining dependency together.

Handle an owner takeover explicitly.

If you take over a negotiation, leave a short handback record: what changed, what the customer accepted, what remains unresolved, and what the workforce may do next. The old quote should not silently remain the instruction for delivery.

Set the decisions you want to keep, such as unusual discounts or commitments outside the service policy. Standard work can proceed within the authority you configure; exceptions should reach the person who can decide them.

Test the handoff before activation.

Run one standard case, one revised quote, and one case with an unresolved dependency. Check that the accepted version, open questions, next owner, and customer update agree across the workflow.
